Terms and Conditions
1. Introduction
Welcome to www.remedial-massage-southampton.co.uk ("the Website"). These Terms and Conditions govern your use of the Website and the services provided by the business ("we," "us," or "our"). By accessing or using the Website, you agree to comply with these Terms and Conditions.
2. Definitions
-
Patient: Any individual booking or receiving services from us. For the purposes of these Terms, the term “patient” refers to a massage therapy recipient and does not imply medical diagnosis or treatment by a regulated healthcare professional.
-
Services: Remedial massage therapy services offered by us.
-
Booking: A confirmed appointment for services made through phone, email, SMS, WhatsApp, or the Website’s contact form.
3. Services Offered
We provide remedial massage therapy sessions tailored to patients’ needs. Bookings are accepted through phone, email, SMS, WhatsApp, or the contact form on the Website.
4. Booking Terms
-
All bookings are subject to availability and confirmation.
-
Online video sessions via WhatsApp require a deposit to secure the appointment.
-
Other methods of booking do not normally require upfront payment. However, we reserve the right to require a deposit or full payment in advance before confirming any booking.
5. Payments
-
Payments are made at the end of each session unless otherwise agreed upon.
-
Deposits for online video WhatsApp bookings must be transferred to our account to confirm the appointment. Payment details will be provided upon booking.
6. Cancellations and No-Show Policy
-
Late Cancellations: Cancellations made less than 30 minutes before the scheduled session are considered late and may be taken into account when determining whether additional booking conditions under Section 6A should apply.
-
No-Show Policy: We reserve the right to waive cancellation charges on the first occasion at our sole discretion. This does not create any entitlement to future waivers. Subsequent no-shows without notice will be charged the full price of the missed session.
-
Patients are encouraged to inform us as early as possible if they need to reschedule or cancel.
6A. Repeated Rescheduling Policy
While patients are welcome to reschedule appointments when genuinely necessary, repeated rescheduling may prevent other patients from accessing available appointments and disrupt the efficient operation of the clinic.
Where a patient repeatedly reschedules appointments or demonstrates a pattern of booking appointments and repeatedly failing to attend them, we reserve the right to:
-
require a booking deposit or full payment in advance before accepting any future booking, subject to the cancellation and rescheduling terms set out in these Terms and Conditions;
-
refuse further rescheduling requests;
-
decline future bookings.
Any booking deposit or advance payment required under this section forms part of the appointment fee and is not an additional charge.
Any advance payment or deposit required under this section does not guarantee that repeated requests to reschedule appointments will be accepted. We reserve the right to decline further rescheduling requests where, in our reasonable opinion, the booking process is being misused.
Where a booking deposit or advance payment is required, it will normally be applied towards the cost of the appointment.
If the patient reschedules an appointment, we may, at our sole discretion, transfer the booking deposit or advance payment to the new appointment.
Where repeated rescheduling, cancellation or other misuse of the booking system continues, we reserve the right to retain the booking deposit or advance payment as a reasonable cancellation charge reflecting the loss of the reserved appointment time, the lost opportunity to offer that appointment to another patient, and reasonable administrative costs.
7. Health and Safety
-
First appointments include completing a patient card, a brief introduction, and a verbal contract between the therapist and the patient.
-
Patients are required to disclose personal information, medical history, current medications, and any relevant medical documents (e.g., X-rays, MRI results) upon request.
-
All personal information will be handled in accordance with our Privacy Policy.
8. Patient Responsibilities
-
Patients must provide accurate and truthful information about their health and medical history.
-
Patients are expected to arrive on time for their appointments.
-
If Patients experience any adverse reactions after a session, they must inform us immediately.
9. Privacy Policy
We collect names and email addresses for communication and service purposes. Please refer to our Privacy Policy for detailed information on how we handle your data.
10. Limitations of Liability
-
We are not liable for any adverse outcomes resulting from incomplete or inaccurate medical information provided by the Patient.
-
While we strive to provide effective therapeutic services, outcomes may vary, and no guarantees are made.
-
Our liability is limited to the cost of the session in which an issue arises.
11. Safeguarding & Under-18 Policy
Patients under 18 years of age require written parental or guardian consent before receiving treatment. We reserve the right to request that a parent or guardian be present during sessions. For patients aged 16–17, attendance without a parent or guardian is only allowed when explicit written consent has been provided by the parent or guardian. This consent must include acceptance of full responsibility for the decision.
12. Changes to the Terms
We reserve the right to amend these Terms and Conditions at any time. Updates will be posted on the Website, and continued use of the Website or services constitutes acceptance of the revised Terms.
13. Abuse of the Booking System
Patients must make appointments with a genuine intention to attend.
We reserve the right to refuse, suspend or cancel future bookings where, in our reasonable opinion, a patient repeatedly books, reschedules or cancels appointments in a manner that disrupts the efficient operation of the clinic or prevents fair access to appointments for other patients.
